Work with more people on a multi-user checklist

For procedures with longer lead times that involve multiple collaborators, the multi-user checklist is an ideal solution. It enhances efficiency, provides clarity, and offers additional features to ensure safety.

Multi-User Checklist

Why use a multi-user checklist?

Many workplace procedures involve multiple people and different phases. It can be cumbersome to use a checklist that must be completed and signed off in one go. That’s why we developed the multi-user checklist in collaboration with our customers. This checklist can be completed in phases by several people, saved and signed off in the meantime, and later picked up by someone else. The log allows you to see exactly who signed off on which parts and when. Like the traditional checklist, it also supports the addition of comments or images.

How multi-user or transferable checklists Work

Collaborative checklist

A user opens the multi-user checklist and begins filling it out, signing off points, and adding comments or photos where necessary. After saving the checklist, a colleague can pick it up for further use, hence the term “transferable checklist.” Multiple users can work on it as needed. For example, in the case of maintenance that lasts a week and involves several phases, a checklist can be completed over several days. Each point is signed off individually with a timestamp, allowing you to track progress. The checklist remains accessible until it is completed.

Use cases

The multi-user checklist was developed with input from customers who use it for longer maintenance stops, among other things. It is also useful for shift hand-overs, allowing important comments to be efficiently communicated to the next team for continued work. If similar checks are needed across different lines, you can create a multi-user checklist for each line, enabling colleagues to collaborate effectively. Additionally, it is invaluable for lockout/tagout procedures, such as in the chemical or food industries, where one process must be completed before safely moving to the next step. This requires coordination among individuals who are often not in the same location (e.g., at the machine and in the control room). The multi-user checklist facilitates real-time updates, ensuring colleagues can verify that a step has been completed and safely proceed with the next check.

The digital multi-user checklist in practice

Setting up a multi-user checklist is similar to creating a ‘regular’ checklist, though the applications vary by industry. The examples above are primarily from the process industry and mass production, but the multi-user checklist also offers benefits for other industries. For instance, in an assembly process, you can create a digital checklist divided into phases for each station. Users can record checks, sign off on the relevant phase, and then transfer it to the next station.

Maximizing digital opportunities

A multi-user checklist leverages the technical capabilities of digital checklists. It allows standard operating procedures to be divided into multiple phases and enables multiple people to contribute from their respective roles and expertise. All information is clearly documented, providing additional opportunities for analysis and reporting.

The digital multi-user checklist will be available as a standard feature in the EZ-GO platform starting in late 2024. Would you like to learn more about the possibilities and applications of this transferable checklist? Please contact us or request a DEMO.
