In production, there are various procedures that involve multiple people and often have longer lead times, such as maintenance stops or assembly processes. A single-user checklist falls short here, as it can only be opened and closed by one person and must be completed in one go. Therefore, we developed the multi-user checklist in collaboration with our customers.
Multi-user checklists for increased efficiency and safety
There are advantages to working with multiple users on a checklist. Here are some examples of practical applications.
The EZ-GO platform offers the ability to create multi-user checklists. These are checklists that can be divided into phases, worked on by multiple people, and kept open for an extended period until a procedure is fully completed. This offers various benefits and applications.

The multi-user checklist can be edited by multiple people, divided into different phases, and kept open for an extended period. The checklist is saved intermittently. It is always visible which points have been checked off, by whom, and when. It is also possible to add comments and photos.
The multi-user checklist has various applications. The following examples are based on customer experiences.
Maintenance stops
A maintenance stop can take several days, during which various tasks are performed. This usually involves multiple people, often from different departments, such as Production and Technical Services. A single shared checklist offers many advantages here. Maintenance tasks can be performed and checked off sequentially or simultaneously. When everything is done, the checklist is closed. This ensures that all steps have been completed and provides an overview of the maintenance status for those involved.
Parallel production lines
Often, similar tasks need to be performed in parallel production lines. Instead of creating a separate checklist for each line, you can use a multi-user checklist. The person performing the tasks can enter the checks for each line in the same checklist. Multiple people can also work on it simultaneously. This saves time and provides a better overview.
Shift handover
During a shift handover, a digital checklist is often used. The departing shift ensures that nothing is forgotten at the end of the shift, and the starting shift can review the details. This is even easier with a multi-user checklist, also known as a transferable checklist. It remains open for the starting shift and indicates any points of attention. The starting shift takes note of these and checks off the checklist. This ensures that important information is properly transferred.
Lock out tag out
In certain processes, it is important that one action is completed before starting the next. For example, closing a valve before making an adjustment to a machine. In some production processes, this does not happen in the same place. Consider a situation where the valve needs to be closed on the floor while the next step is performed in a control room. A multi-user checklist provides real-time insight into the status. The control room sees that the step ‘close valve’ has been completed and knows that the next step can be performed.
You can program a hard stop for extra safety. This means setting up the checklist so that you can only start the next phase after completing the previous one.
Assembly process
Multi-user checklists are also useful in custom production or series work. A project moves from one station to another. Certain actions, checks and measurements must be completed before the next station can proceed. A transferable checklist is ideal for this. You set it up per project and divide it into phases. The people working on the project fill it in for their own station and check off the checklist before the project moves to the next station. It is also possible to add measurement results and other comments.
These are just a few of the many applications of multi-user checklists or transferable checklists.
